This document is a working draft. It is published here for transparency and does not yet represent final legal terms. This policy should be reviewed by a solicitor before it is relied upon.

1. Who we are
This website is operated by ZanNex Travels Ltd ("ZanNex Travels", "we", "us", "our"), a company registered in England and Wales.
- Company number
- 17271800
- Registered office
- 47 Thurston Road, Slough, Berkshire, England, SL1 3JW
- Contact for privacy matters
- info@zannextravels.com
We are the "data controller" for the personal information described in this policy. That means we decide how and why it is used.
2. What information we collect
Information you give us when you enquire
- Your name
- Your email address
- Your phone number, if you choose to give it
- What you are interested in (Umrah, tours, visa assistance, or something else)
- Anything you write in the message box, which may include your travel dates, party size, budget, and any accessibility or dietary needs you tell us about
Travel information, only when it is actually needed
If your enquiry progresses towards arranging travel, we may need additional details in order to make bookings or support a visa application. This can include:
- Nationality
- Passport number, issue and expiry dates
- Date of birth
- Travel dates and accommodation preferences
We ask for this only when it is genuinely required for a specific booking or application, never as part of a general enquiry. Some of this information (for example, health or accessibility requirements you choose to share) may be more sensitive, and we treat it accordingly.
Information collected automatically
This website is a simple, static site. It does not set cookies, does not run analytics, and does not track you across other websites. Our hosting provider may keep standard server logs (such as IP addresses and pages requested) for security and reliability.
3. Why we use your information, and our lawful basis
| What we do | Why | Lawful basis |
|---|---|---|
| Reply to your enquiry and give you advice or a quote | You asked us to | Legitimate interests / steps prior to a contract |
| Arrange hotels, transport, tours and other services | To deliver what you have asked us to arrange | Performance of a contract |
| Support a Saudi visa application | The authorities require these details | Performance of a contract / legal obligation |
| Keep booking and financial records | UK tax and company law require it | Legal obligation |
| Handle complaints, disputes or insurance matters | To protect both of us | Legitimate interests |
We do not sell your information, and we do not send marketing emails unless you have specifically asked us to.
4. Who we share your information with
To arrange travel, we have to pass certain details to the organisations that actually deliver it. Depending on your trip, these may include:
- Hotels and accommodation providers in Saudi Arabia
- Ground transport operators and drivers
- Local tour operators, guides and experience providers
- Visa processing agents and the relevant Saudi authorities
- Our professional advisers: accountants, insurers and solicitors
- Service providers who help us run the business, such as our email and form providers
Transfers outside the UK
Some of these partners are based outside the United Kingdom, including in Saudi Arabia. This is unavoidable: your travel takes place there, and the hotels and operators who fulfil it are located there.
Data protection laws in those countries may not offer the same safeguards as UK law. Where we transfer your information abroad, we take reasonable steps to ensure it is handled securely and shared only to the extent necessary to deliver your travel arrangements.
We may also disclose information where we are legally required to, for example to law enforcement, a regulator, or a court.
5. How long we keep your information
- Enquiries that do not lead to a booking
- Kept for up to 24 months. Travel, and particularly Hajj and Umrah, is often planned well over a year in advance, so keeping your enquiry lets us pick up the conversation where we left it rather than starting again.
- Booking and financial records
- Kept for 6 years after the end of the relevant tax year. This is required by UK tax and company law.
- Sensitive documents (passport and visa details)
- Kept only for as long as they are needed for the specific booking or application, and then deleted. We do not retain passport copies once the arrangements they were needed for are complete.
You can ask us to delete your information sooner. See your rights below.
6. How we protect your information
We take reasonable technical and organisational measures to keep your information secure, limit who can access it, and share sensitive documents only through appropriate channels. No system is completely secure, but we take this seriously, particularly for passport and visa documents.
7. Your rights
Under UK data protection law you have the right to:
- Access: ask for a copy of the information we hold about you
- Rectification: ask us to correct anything inaccurate or incomplete
- Erasure: ask us to delete your information, where we have no legal reason to keep it
- Restriction: ask us to pause using your information while a concern is resolved
- Objection: object to our use of your information where we rely on legitimate interests
- Portability: ask for your information in a portable format
- Withdraw consent: where we rely on consent, withdraw it at any time
To exercise any of these, email info@zannextravels.com. We will respond within one month. There is no charge.
8. Complaints
If you are unhappy with how we have handled your information, please tell us first and we will try to put it right.
You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO):
- Website
- ico.org.uk/make-a-complaint
- Helpline
- 0303 123 1113
- Our ICO registration number
- REPLACE: ICO registration number to be added
9. Cookies
This website does not set cookies and does not use analytics or advertising trackers. If that changes, we will update this policy and ask for your consent where required.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. If we make a significant change, we will make that clear on this page.
